AI on chaos is faster chaos

A chatbot answering clients from a CRM full of duplicates answers confidently and wrong. A tool drafting payment reminders from a sheet nobody reconciles chases the wrong amounts. The tools work. The ground under them does not.

This is why so many AI experiments in small companies die in three months. The tool gets blamed. The real fault is that nobody could say, in one sentence, how the job was supposed to run before the tool arrived.

The fix is a sequence, not a purchase. First, agree how the work runs: who does what, where the single source of truth lives, what a finished job looks like. Write it down. That alone removes a surprising share of the pain.

Second, put AI on the steps it genuinely improves: reading documents, drafting replies, preparing reminders, watching deadlines. Busywork, not judgement. A person approves whatever leaves the building.

Done in this order, the same tools that failed last quarter suddenly work. Not because they got smarter. Because they finally had something solid to stand on.
